Changing or terminating your EU representative
Switching providers or ending representation is straightforward if you avoid a coverage gap. Here is how to change your EU representative cleanly and keep your records consistent.
Switch without a coverage gap
Whether you are moving from another provider to Usantis, moving away, or winding representation down entirely, the one rule that matters is: never leave a period where no valid EU representative is published. A stale or missing contact in your privacy policy is exactly the kind of gap an authority notices.
Switching providers
- Appoint the new representative and obtain its EU address and contact details
- Update your privacy policy and Article 30 records to the new representative
- Publish the change on the same day the new mandate takes effect
- Only then terminate the old mandate, so coverage never lapses
- Export and keep any audit log or request history from the old provider
Appointing the new one first is the whole trick — see how to appoint a representative.
Winding representation down entirely
If you genuinely fall out of scope — you stop targeting and monitoring people in the EU, or you establish in the EU so that a different rule applies — you can end the mandate. Remove the representative from your privacy policy and records, and keep documentation of why the obligation no longer applies.
Leaving Usantis
What you can expect if you ever move on:
- Cancel anytime — monthly at period end, annual with a pro-rata refund
- Export your audit log and request history before you go
- We keep the representation valid until your switch-over date so there is no gap
